Role Summary

The Winter Camping Coordinator plans the pack’s annual winter camping trip — typically the pack’s biggest overnight event. This involves reserving a cabin or campsite, planning the program, coordinating food and supplies, and ensuring all BSA safety requirements are met.

Core Responsibilities

  • Reserve a cabin or campsite well in advance (popular sites book 4–6 months ahead)
  • Plan the weekend program in coordination with the Cubmaster
  • Coordinate food planning with the Grubmaster
  • Ensure at least one BALOO-trained adult is attending
  • Arrange transportation logistics if the site is distant
  • Communicate event details to families: dates, cost, packing list, logistics
  • Collect registration fees through WooCommerce (coordinate with Treasurer)
  • Manage headcount and confirm attendance 2 weeks before the event
  • Ensure health forms and consent forms are collected for all participants
  • Plan for cold-weather safety: appropriate clothing guidance, buddy checks, hypothermia awareness
