Den Advancement Tracking

Tracking and reporting advancement is one of the den leader’s most important administrative responsibilities. A Scout who completes a requirement should receive their award at the very next pack meeting — delays are discouraging. Scoutbook is the tool that makes this work.


Scoutbook (Scoutbook.com or the Scouting app) is where advancement records live. As Den Leader:

  • Mark requirements as complete as soon as a Scout finishes them (ideally the same day or within a day or two of the meeting)
  • Parents can see their Scout’s progress in real time through their own Scoutbook accounts
  • The Advancement Chair pulls advancement records from Scoutbook to purchase badges and awards

Reporting Advancement to the Advancement Chair

When Scouts complete their badge of rank or other significant milestones:

  1. Mark the achievement complete in Scoutbook
  2. Notify the Advancement Chair so they can order the award in time for the next pack meeting
  3. Do NOT wait — awards must be purchased before they can be presented

For den advancement reports at pack leaders’ meetings:

  • Come prepared with a brief update on each Scout’s progress
  • Flag any Scouts who are significantly behind — work with the family to catch up

  • Plan meetings so that completing adventure requirements is a natural outcome of the meeting’s activities
  • With advancement being completed in the den meeting, a Scout’s absence should be the only reason for not advancing
  • Work with Scouts and families to complete activities missed due to absence
  • Track partial completions in Scoutbook so you know where each Scout stands

In addition to formal recognition at pack meetings, provide immediate recognition at den meetings:

  • Advancement charts (physical or digital) showing each Scout’s progress
  • Den doodles
  • Immediate recognition items (e.g., beads, stickers for younger ranks)

At the end of the year:

  • Wolves graduate to Bears, Bears to Webelos, etc.
  • The Cubmaster conducts graduation ceremonies at a pack meeting
  • Arrow of Light Scouts cross over to a Scouts BSA troop — the den leader coordinates with the Cubmaster and troop Scoutmaster for a meaningful ceremony

For AOL: Target crossover in January or February so Scouts can attend a couple of troop campouts before summer camp.
